USU – The Directorate of Innovation, Sustainable Development, and Science and Technology Parks at the University of North Sumatra (DIT.IPBKST.USU) hosted a working visit from the Directorate of Governance, Law, and Archives at the University of North Sumatra as part of efforts to coordinate, conduct preliminary assessments, and provide guidance on records management within the university’s organizational units.

The event, which took place in the DIT.IPBKST.USU meeting room, was led by the Director of the USU Directorate of Governance, Law, and Archives along with his team, and was hosted by the Director of DIT.IPBKST.USU and his staff. This meeting is part of the University of North Sumatra’s efforts to strengthen a professional and accountable administrative governance system that aligns with the principles of good records management.

During the implementation of the activity, the team from the Directorate of Governance, Law, and Archives conducted an initial assessment of the records management system currently in place at DIT.IPBKST.USU. This process included a review of the mechanisms for records creation, document classification, storage, preservation, and the management of active records as part of an administrative system that supports the effective execution of the organization’s duties and functions.

In addition to conducting the assessment, this activity also included coordination sessions and technical guidance aimed at providing an understanding of archival management standards in accordance with the regulations and policies in effect at the University of North Sumatra. Various suggestions and recommendations were presented as a first step toward improving the quality of the archival system so that it can support institutional governance that is more orderly, efficient, and well-documented.

The Director of DIT.IPBKST.USU expressed appreciation for the implementation of this mentoring program. According to him, systematic records management is a key aspect in supporting accountability, transparency, and the sustainability of an organization’s administration. Through this program, it is hoped that all document management processes within DIT.IPBKST.USU can continue to be improved in accordance with the standards set by the university.

Meanwhile, the Director of the Directorate of Governance, Legal Affairs, and Archives at USU emphasized that this initial identification process is part of ongoing guidance provided to all work units within USU. This guidance is provided not only to evaluate current conditions but also to ensure that each work unit has a structured, easily traceable records management system capable of supporting future administrative, audit, and decision-making needs.

Through this coordination and guidance, it is hoped that a stronger synergy will be forged between the Directorate of Governance, Law, and Archives and DIT.IPBKST.USU in realizing a modern, effective, and service-oriented archival management system aimed at improving the quality of administrative services at the University of North Sumatra.
